We are seeking a Quality Control & Administrative Executive to ensure our design projects meet the highest standards, and that our administrative systems run smoothly.
Responsibilities:
- Quality Control:
- Proofread and perform quality checks on design deliverables to ensure accuracy, consistency, and alignment with client brand guidelines and briefs.
- Work closely with the Design team as well as the Client Services team to review projects, identifying areas of improvement and ensuring deliverables meet company standards before final submission.
- Project Administration:
- Ensure project files are organised and up-to-date across all platforms used by the company.
- Update and track project statuses across various programs to ensure that all team members have visibility into the progress of ongoing projects.
- Invoice & Purchase Order Management:
- Manage the creation and tracking of invoices and purchase orders, ensuring that all financial records are accurately maintained.
- Work closely with the Client Services team to keep all financial systems updated, ensuring timely payments and invoice follow-ups.
- Team Collaboration:
- Collaborate effectively with designers and Client Services team to ensure smooth project operations.
- Act as a point of contact for administrative inquiries and assist in resolving project-related issues promptly.
- Continuous Improvement:
- Suggest and implement improvements to administrative and quality control processes to increase efficiency and reduce errors.
- Stay informed on best practices for quality assurance, proofreading techniques, and financial management tools.
Requirements:
- Excellent proofreading skills with a strong eye for detail.
- Experience in a quality control or administrative role, preferably within a creative agency or design-focused environment.
- Strong organisational and multitasking abilities, capable of managing multiple projects simultaneously.
- Familiarity with project management tools (e.g. Trello) and financial software (e.g., Xero).
- Proficiency in Microsoft Office Suite and cloud-based file management systems.
- Excellent communication and collaboration skills.
- Ability to work under tight deadlines and manage competing priorities.
