About the Company:
We are a dynamic and forward-thinking sports creative design agency specialising in delivering exceptional design projects across various industries. We work with a diverse range of clients to ensure top-quality creative solutions, and we pride ourselves on precision, efficiency, and innovation. We are seeking a Quality Control & Administrative Executive to ensure our design projects meet the highest standards, and that our administrative systems run smoothly. 

Responsibilities:

 

  1. Quality Control:
    • Proofread and perform quality checks on design deliverables to ensure accuracy, consistency, and alignment with client brand guidelines and briefs.
    • Work closely with the Design team as well as the Client Services team to review projects, identifying areas of improvement and ensuring deliverables meet company standards before final submission.
  2. Project Administration:
    • Ensure project files are organised and up-to-date across all platforms used by the company.
    • Update and track project statuses across various programs to ensure that all team members have visibility into the progress of ongoing projects.
  3. Invoice & Purchase Order Management:
    • Manage the creation and tracking of invoices and purchase orders, ensuring that all financial records are accurately maintained.
    • Work closely with the Client Services team to keep all financial systems updated, ensuring timely payments and invoice follow-ups.

 

  1. Team Collaboration:
    • Collaborate effectively with designers and Client Services team to ensure smooth project operations.
    • Act as a point of contact for administrative inquiries and assist in resolving project-related issues promptly.

 

  1. Continuous Improvement:
    • Suggest and implement improvements to administrative and quality control processes to increase efficiency and reduce errors.
    • Stay informed on best practices for quality assurance, proofreading techniques, and financial management tools.

 

 

Requirements:

  • Excellent proofreading skills with a strong eye for detail.
  • Experience in a quality control or administrative role, preferably within a creative agency or design-focused environment.
  • Strong organisational and multitasking abilities, capable of managing multiple projects simultaneously.
  • Familiarity with project management tools (e.g. Trello) and financial software (e.g., Xero).
  • Proficiency in Microsoft Office Suite and cloud-based file management systems.
  • Excellent communication and collaboration skills.
  • Ability to work under tight deadlines and manage competing priorities.
